BuddyHQ Inc. ("BuddyHQ", "we", "us"), a Delaware corporation, operates an AI-powered platform designed for marketing workflows, content creation, and digital campaign generation for businesses and individual creators (the "Service"). We are committed to protecting your privacy and handling your data with transparency.
2. INFORMATION WE COLLECT
2.1 Account Data
Email address, full name, password, and (optional) organization name.
2.2 User Content
Text, images, videos, audio, documents, and brand assets you manually upload for processing ("Input Data").
2.3 Usage Metadata
IP address, browser type, time zones, and interaction logs required for security and analytics.
3. HOW WE USE DATA & AI PROCESSING
3.1 Service Delivery
To generate content, manage workflows, and authenticate users.
3.2 AI Architecture
BuddyHQ utilizes a hybrid AI system:
- Proprietary Models: We use our own specialized models for understanding user intent, campaign logic, and "thinking" processes.
- Third-Party Generators: We utilize industry-leading third-party Large Language Models (LLMs) and image generation models to assist in content creation. We vet all providers for security and high data protection standards.
3.3 Zero-Retention Agreement
We have entered into zero-retention or non-training agreements with our third-party AI providers. Your Input Data is NOT used to train their public foundation models. Your proprietary data remains isolated.
3.4 Improvements
We use aggregated, anonymized usage data (non-identifiable) to improve platform stability and UI.
4. OUTPUT ACCURACY & AI RELIABILITY
4.1 Probabilistic Nature
You acknowledge that the Service uses Artificial Intelligence, which generates responses based on probabilistic patterns rather than deterministic facts. Consequently, outputs generated by the Service may occasionally be inaccurate, hallucinated, or factually incorrect, even when based on accurate Input Data.
4.2 User Verification
We do not guarantee the accuracy of any personal data or factual claims generated in the outputs. You are responsible for verifying all AI-generated content before relying on it or publishing it.
5. DATA SHARING & DISCLOSURE
We do not sell your personal data. We disclose data only to:
- Subprocessors: Trusted vendors strictly for operational needs, including Google Cloud Platform (GCP) for hosting and Stripe for payments. We also transmit data to our select AI infrastructure providers solely for the purpose of generating your requested content.
- Legal Compliance: If required by a subpoena, court order, or to prevent imminent harm.
6. INTERNATIONAL DATA TRANSFERS
Your data is primarily processed in the United States.
India Operations: You acknowledge that BuddyHQ's operational and support teams located in India may access your data for technical support. We transfer data strictly under Standard Contractual Clauses (SCCs) to ensure GDPR and global privacy compliance.
7. INDIA SPECIFIC RIGHTS (DPDP ACT, 2023)
For users in India, BuddyHQ acts as a Data Fiduciary.
Grievance Redressal: If you have concerns regarding data processing, contact our Grievance Officer at grievance@buddyhq.ai. We acknowledge complaints within 24 hours.
8. SECURITY
We treat the security of your data as a top priority and implement enterprise-grade measures:
8.1 Infrastructure
The Service is hosted on Google Cloud Platform (GCP), utilizing its industry-certified security framework (ISO 27001, SOC 2).
8.2 Technical Measures
- Encryption: All data is encrypted at rest (AES-256) and in transit (TLS 1.2+).
- Access Control: We utilize Multi-Factor Authentication (MFA) and strict Role-Based Access Control (RBAC).
8.3 Breach Notification
In the event of a security breach that materially compromises your personal data, we will notify you within 72 hours or as required by applicable law.
9. DATA RETENTION & DELETION
We retain personal data for the duration of your active account. Upon account termination, data is deleted within 60 days. You may request immediate deletion by contacting support@buddyhq.ai.
